1. WHAT IS A VIRTUAL OFFICE SERVICE?
At Clavering House Business Centre, our virtual office service gives you a prestigious business address in Newcastle city centre without the hefty rent of physical office space. You can use our mailing address for your business, no matter where you actually work. This address can be on your website, business cards, letterheads, invoices, and even as your registered office address if needed.
We also offer telephone answering services, meeting rooms, and even post scanning and forwarding for an additional fee.
2. WHAT DO I NEED TO DO TO GET STARTED?
Getting started is easier than ever! You no longer need to visit our office in person (though you’re welcome to if you prefer). We can accept digital copies of the application form and your ID documents. Simply email us the completed form along with scans of your current passport or valid driving licence, and a utility bill or bank statement from the last 3 months to confirm your home address.
Our partner company, Smart Search, will conduct the necessary identity verification checks. Once verified, we’ll issue an invoice for your first 3 months. 3. WHAT’S THE MINIMUM SUBSCRIPTION PERIOD FOR THE VIRTUAL OFFICE SERVICE?
You can sign up for as little as 3 months. If you decide to go for a full year and pay upfront, we’ll give you a 10% discount as a thank you.
4. HOW MUCH DOES A VIRTUAL OFFICE SERVICE COST?
Our services are priced separately, so you can pick and choose what you need:
Mail address and registered office address: £35 + VAT/month
Telephone answering service: £55 + VAT/month
Meeting rooms: From £20 + VAT per hour
And don’t forget, we now offer post scanning and forwarding for an additional fee.
5. HOW DO I PAY FOR A VIRTUAL OFFICE SERVICE?
When you subscribe, you’ll pay for the first 3 months in advance. Towards the end of this period, we’ll send you an invoice for the next 6 months, which you can pay in one go or in monthly instalments via standing order. If you prefer, we can also bill you for 12 months upfront, and you’ll get a 10% discount.
6. ARE THERE ANY LIMITATIONS TO USING THE CLAVERING HOUSE MAILING ADDRESS?
You can use our address on your website, stationery, invoices—wherever you need it! Just keep in mind that we can’t accept parcels larger than 50x50x50 cm due to limited storage space.
7. CAN I USE CLAVERING HOUSE AS MY REGISTERED OFFICE ADDRESS?
Yes, you can! It’s a one-off fee of £20 + VAT (providing you have an active mailbox account). Many of our clients use Clavering House as their registered office address with Companies House.
8. WHAT IF SOMEONE VISITS CLAVERING HOUSE ASKING FOR ME WHEN I’M NOT THERE?
It doesn’t happen often, but if someone does drop by unexpectedly, we’ll let them know you’re out and take a message for you—unless we’re legally obliged to do otherwise. Discretion is key!
9. CAN I USE A PHOTO OF CLAVERING HOUSE ON MY WEBSITE AS MY BUSINESS LOCATION?
Absolutely! We’re proud of our beautiful Grade II listed building and its prime location near the Stephenson Quarter in Newcastle. Feel free to share this with your clients and even verify your business on Google Maps using our address to boost your online presence.
10. HOW WILL I KNOW WHEN MY MAIL ARRIVES AT CLAVERING HOUSE?
We’ll send you an email the same day your mail arrives. You can then collect it at your convenience, knowing it’s been stored securely. You can also subscribe to one of our forwarding services if travelling into the city centre to collect your mail is inconvenient!
11. WHAT IF MAIL ARRIVES AFTER MY VIRTUAL OFFICE SERVICE SUBSCRIPTION EXPIRES?
For the first month after your subscription ends, we’ll still notify you about any mail. After that, we’ll either return it to sender or we can arrange to continue the service for a fee.

Our friendly reception staff will answer your calls professionally, using your preferred greeting.
13. WILL MY COMPANY NAME BE USED WHEN ANSWERING CALLS?
Yes, we’ll answer calls in your company name, acting as your business’s reception service.
14. CAN CALLS BE FORWARDED TO ME?
Yes, we can arrange for call forwarding. We’ll discuss the additional cost with you if you need this service.
15. HOW WILL I KNOW WHO CALLED?
After taking a call, we’ll email you the details, including the caller’s information and message, so you can get back to them when you’re free.
